THE RSVP PROCESS

To receive a full brief of the event from the client, including:

• Theme
• Dates
• Time
• Target Market
• Purpose of event etc…
• Confirm domain name (takes 24 to 48 hours to register). It is necessary to buy a domain name that the guests will receive the invitations from, for example, your event name (www.youreventname.co.za), or a generic name for your company (www.yourcompany-rsvp.co.za)
• The guest list needs to be sent to us, to enable us to ‘clean’ your guest list. Guest lists need to be sent to us in an excel spreadsheet with name, surname, email address, contact numbers etc all in separate columns.
• We will upload the wording you give us for the invitation and RSVP form as well as upload your list.
• A test mail will be sent to the event / project manager
• Wait for your approval
• Send live project
• Wait 30 hours for all mails to be sent out. Some email addresses may have busy servers etc, the system resends to those email addresses up to 5 times, until 30 hours have passed. Emails not sent, will be stored into the non response list.
• The RSVP data is exported into an excel spreadsheet and sent to the event / project manager
• We can resend to non responses when appropriate
